General Club Rules

1. Name
The name of the group shall be Duston Camera Club.
2. Aims
The aims of the club shall be to further the interests of photography.
- by mutual assistance.
- by competitions, lectures, discussions and practical demonstrations
- by exhibitions of members work.
- by social and other activities approved by the committee.
3. Membership
- Membership of the club shall be open to any person age 18 years and over.
- Membership will begin as soon as the membership form and first annual payment has been received.
- There will be an annual membership fee which will be agreed at the Annual General Meeting (AGM) and will be payable by all members. In addition each member in attendance will pay a weekly levy, the amount to be agreed upon at the AGM.
- Membership will be deemed to have lapsed if not paid by 30th June unless a satisfactory explanation is given to the Treasurer.
- Any offensive behaviour, including racist, sexist or inflammatory remarks, will not be tolerated.
- No disciplinary action may be taken against any member of the club without that member being given the right of a hearing before the committee. A reasonable period of notice must be given to the member concerned and any notice submitted must be given to the member concerned in writing.
- Whilst visitors are welcome at the club and members are encouraged to extend invitations to prospective members, visits shall be limited to three times per year. Anyone wishing to visit more than three times in one year should be invited to enrol as a member.
4. Club Administration
- The Officers of the Club shall consist of a Chairman, Vice-chairman, Treasurer, General Secretary, Programme Secretary and Competition Secretary. The Vice-chairman shall automatically succeed the retiring Chairman.
- The affairs of the club shall be managed by a Committee consisting of the officers and three lay members elected to the Committee at the AGM. At a committee meeting the Chairman or Vice-chairman plus two officers and two lay committee members shall form a quorum except where the retiring Chairman is a member of the committee in accordance with rule 4e, in which case the quorum shall be six.
- The committee shall have the power to co-opt other members for special purposes.
- The committee shall meet monthly.
- All officers and committee members will retire annually with the exception of the Vice-chairman (Chairman designate) and all will be eligible for re-election. In the event of the Chairman not being re-elected as an officer or as a committee member they will automatically become an ex officio member of the committee until the following AGM.
- The Treasurer shall collect subscription and other monies and pay out any sums authorised by the committee. Monies in hand shall be banked in the name of the club. At the end of the financial year, which will be March 31st, the Treasurer shall draw up a statement of accounts for presentation to the members. All money raised by or on behalf of Duston Camera Club can only to be used to further the aims of the group, as specified in Rule 2.
- The General Secretary shall keep the minutes of all meetings and conduct the general correspondence of the club.
- The Programme Secretary shall be responsible, in conjunction with the committee, for all the correspondence and affairs relating to arranging the programme and social activities.
- A special meeting may be convened at any time on a written requisition signed by ten ordinary members qualified to vote, stating the specific object for which it is called and sent to the Secretary at least 31 days before the proposed special meeting. No business shall be transacted at such a meeting except that named in the requisition and two-thirds of the members present must vote in favour of the proposed alterations or additions for them to be carried.
5. Meetings
- The club shall hold meetings upon such a day, time and place as may be decided upon by the committee.
- The AGM shall be held on the last Tuesday of March each year, and fourteen days’ notice shall be given to all members. Any notice of motion for consideration at the AGM shall be in the Secretary’s hands at least 31 days before the date of the AGM. No other business may be moved unless deemed urgent by the chairman.
6. Amending these Rules
No alterations to these rules shall be made except at an AGM or a Special Meeting called in accordance with rule 4i at which meeting two thirds of the members present must vote in favour of the proposed alterations or additions in order for the same to be carried.
7. Dissolution of the Club
The Club can only be dissolved by a majority of members attending a special general meeting called solely for this purpose.
If it is agreed to dissolve the group all remaining money and other assets once outstanding debts have been paid, will be donated to like-minded organisations or charities within Northamptonshire. The organisations and charities are to be agreed upon at the aforesaid meeting.
